How we store your information

Crownsway Insurance Brokers Limited will store all information on our encrypted cloud storage, and all paper files will be stored in a lockable cabinet. However, we encourage the team to reduce the use of paper files where possible, as we are aware of the environment; therefore, should there be any paper notes, they will be either scanned onto our cloud system or written information will be put within a Word Doc or Excel spreadsheet so that we can securely shred any paper information.

All information will be reviewed annually, as we have been trading for over 50 years, so we are cautious as to the information that is destroyed unless we are requested to do this before our review date. The destruction process will consist of all of the client details except for the invoices, which will need to be stored for 6 years as a legal requirement.

Upon termination of a client's policy, their information will be reviewed every three years. This duration provides sufficient time for our records to confirm whether they will return. However, if the information is required for any legal cases, it will be stored for many years (within the UK legal guidelines). Please note that this timeframe may be subject to change in accordance with updates to UK law.
